This privacy policy is not for applicants for job positions or employees at TeamVASH. Please note that this privacy policy applies only to our website and services and does not extend to any third-party sites or services that you may access through links on our site.

Who Are We?

We are TeamVASH, located in British Columbia, Canada.

Information We Collect

We may collect personal information from you when you interact with our website or services in the following circumstances:

  1. Purchasing Goods or Services: When you purchase goods or services from us, we may collect personal information such as your name, email address, phone number, and home address to process your order and calculate sales tax. We also collect transactional data that includes order details/history, subscriptions, refunds, payments, shipping details, gifts, tax-related information, and any other relevant details necessary to process your order. Please note that we store this transactional data for a period of seven years for tax and audit purposes.
  2. Account Registration: When you create an account with us, we may collect personal information such as your name, email address, and password to create and maintain your account. Your password, however, is never processed by our servers, but through our authentication provider Cognito.
  3. Customer Service/Technical Support: When you contact our customer service or technical support team, we may collect personal information such as your name and email address, to assist you with your inquiry. We may collect information related to your account, such as your account restriction history, case details, complaints and penalty histories, and the issues raised. We use this information to provide you with support and to improve our services. We may also use this information to prevent fraud, enforce our terms and conditions, and comply with applicable laws and regulations. Customer support request data is kept for a limited amount of time; however, any data related to bans or malicious activity is kept indefinitely.
  4. Newsletters/News: When you sign up to receive newsletters or other news from us, we may collect personal information such as your name and email address to send you these communications.
  5. Emails: When you receive emails from us, a 1 pixel by 1 pixel transparent GIF image is inserted in each email sent through our email provider which is used to track email open rates.
  6. Server Logs: We retain server logs that may contain information related to your use of our services, such as your region, activity log, cookies, operating systems and versions, browser, session length, referring URL, device model, license details, and other technical information. These server logs are used for troubleshooting, system maintenance, and security purposes, and are kept for a limited period of time. We store server logs for a limited period unless there are customer support issues, in which case we store the logs for longer, but not indefinitely.
  7. Computer Hardware Data: When you install the anti-cheat software, it may collect information regarding your operating system version, hardware specifications, and details about unauthorized third-party programs.
  8. Suspensions: We will store data related to suspensions and chargebacks on your account for security, fraud, and abuse prevention.
  9. Location: When you use our website or services, we may collect your IP address or IP addresses for security and service performance reasons. Your IP address is a unique identifier assigned to your device when it connects to the internet. We use this information to identify and prevent unauthorized access to our website, services, or your account, to troubleshoot technical issues, and to improve the performance of our services.
  10. Legal Records: In some cases, we may need to keep legal records of your personal information, such as case files or complaints. This may be necessary for compliance with legal obligations, for the establishment, exercise, or defense of legal claims, or for other lawful purposes.
  11. Game Data: When you play our game, we may collect various types of game data related to your progress, stats, in-game purchases, chat logs, voice chat data, interactions with other players, items you unlock, match history, guild information, your rank, progression, reputation, scores, and other similar information. You may need to provide your gender and other features to customize your in-game character that will need to be stored to enable you to use your character. This data is used to provide you with a better gaming experience, such as by enabling you to track your progress, compete with other players, and customize your gameplay. We may also use this data to analyze gameplay trends, develop new features, and improve the overall quality of our game. This data may be retained for as long as it is necessary for the purposes outlined in this privacy policy.

We are using Stripe's Embedded Checkout, which is a payment integration that allows us to embed payment processing forms on our website for collecting payments. The data you input into the forms, such as your name, email address, and credit card information, will be stored on Stripe servers. Please note, we comply with all PCI standards. We don’t see any payment information when you make a purchase from us, as we use a third-party payment processor called Stripe. All form inputs are served from Stripe's domain using an iframe, so your card information never touches our servers. The only information visible to us is non-sensitive card information such as the card type (credit, debit, or prepaid), card brand (Visa, American Express, MasterCard, etc.), last four digits of the card, and the expiration date. Please review Stripe's privacy policy as well for more information.

How Long We Use Your Information

We will only retain your personal information for as long as necessary to fulfill the purposes for which it was collected, unless a longer retention period is required by law.

In accordance with GDPR’s storage-limitation principle—“Personal data shall be kept in a form which permits identification of data subjects for no longer than is necessary for the purposes for which the personal data are processed”—we apply the following retention periods:

  • Terms & Conditions agreements: stored for 7 years from the date you agree (including ip address and user agent) for contractual purposes.
  • Purchase & subscription records: stored for 7 years (including IP address at checkout) for contractual purposes.
  • Account change & security logs (password/email updates, two-factor setup, etc.): stored for 1 year (including ip address and user agent) for security purposes.

All of the above records use database TTL (Time to Live) settings so that once the configured retention period elapses, the data is automatically deleted without manual intervention.

Creator Code Program

If you participate in our Creator Code Program, we collect certain personal information from you for the purpose of administering and paying out your earnings and providing any required tax documents. Specifically, we collect and store:

  • Full legal name
  • Social Insurance Number (SIN) for Canadians or Taxpayer Identification Number (TIN) or Social Security Number (SSN) for U.S. Creators (encrypted before transmission and at rest). We maintain comprehensive audit logs and strictly limit access to private keys to authorized personnel only.
  • Bank details (e.g., transit number, institution number, account type/number), along with your country of residence, mailing address, and any other details required for tax reporting.

Use of Wise for Payments:
We use Wise (a third-party payment service provider) to store and process certain payout details, such as your bank account information, name, and address. Wise may also require us to collect additional information to comply with anti-money laundering (AML) or “Know Your Customer” (KYC) regulations. When we share your personal information with Wise, they become an independent controller/processor of that information. Please review Wise’s Privacy Policy to understand how they handle and protect your data. Note that because payouts may be processed in either CAD or USD, Wise will handle currency conversions as needed.

Tax Documents & Electronic Delivery:
Canadian Creators who earn above certain thresholds may require a T4A slip, which will be made available to you electronically through your Creator Dashboard. We do not send physical T4A forms by mail. Similarly, U.S.-based Creators may be required to provide W-9 forms or similar documentation for 1099 reporting. We maintain these tax documents in secure, encrypted form and retain them for as long as necessary to comply with legal and regulatory requirements.

Commission & Purchase Data:
To accurately calculate your commissions (e.g., the 5% “Payout Award”), we collect data about purchases made by players using your Creator Code. This purchase data is converted into USD at the current exchange rate, and your commission is derived from that USD amount. We store these transaction records to verify that payments are properly attributed to your code, handle any dispute or chargeback issues, and comply with our tax and accounting obligations.

Accidental Overpayments:
In rare circumstances where an overpayment of commissions occurs, we will log the transaction details and may need to contact you regarding reimbursement. The data pertaining to such overpayments (e.g., dates, amounts, associated account info) is retained for accounting, audit, and fraud-prevention purposes.

Retention & Deletion:
We retain this Creator Code Program data as long as needed to fulfill our legal, regulatory, and contractual obligations. This generally includes annual audits, tax filing requirements, and record-keeping for accounting purposes. If you request to leave the program or delete your account, we will still maintain the necessary payout and tax records for the period required by applicable law (e.g., up to seven years) before securely deleting or anonymizing them.

Why We Collect and Store This Information:

  • To identify you properly, ensure you qualify for participation in the Creator Code Program, and confirm payout details.
  • To comply with tax, accounting, and financial reporting obligations, such as issuing tax documents or verifying your identity for large transactions.
  • To send you annual or periodic earnings payouts through Wise.
  • To prevent fraudulent activities or unauthorized payouts, protect our business, and comply with relevant legal requirements.

We retain these payout records, tax forms, and any related personal information only as long as necessary to fulfill our legal, regulatory, and contractual obligations, including record-keeping for tax and audit purposes—often up to seven years. This includes your payout history, bank details, and any supporting documentation needed for potential audits or dispute resolution. How We Use Your Information

We use your personal information to provide you with access to our services and to improve your user experience. For example, we may use your email address to send you important updates about our services or to respond to your inquiries or requests.

We may also use your information to personalize your experience with our game and to improve our gameplay features. We may use your gameplay history, achievements, and preferences to recommend new games or features that may interest you.

Why We Collect Your Information

  1. To Perform Our Essential Business Operations:
    • Gameplay Experience: Data that may be collected to make the game more fun including: your in-game progress and quests, activity logs, timestamps, country, account name, chat logs, name, game statistics, match history, guild information, friends list, items in account or items unlocked.
    • Display Your Account Details: Data that may be displayed when you login to your account on the website or game launcher and access your account page: address, player name, name, phone number, or email address.
    • Customer Service: Data that may be needed to provide assistance with managing your account, purchases, or in-game experience: address, player name, email address, name, phone number, billing address, order details, payment information, shipping address, activity log, timestamps, country, internet service provider, region, IP addresses, case details, case history, complaint history, customer service chat logs, penalty history, submitted files.
    • Purchases: Data that may be required when you purchase any of our products or services: address, player name, date of birth, billing name and address, order and refunds details, payment information, product reviews, shipping name and address, shopping cart, licenses and subscriptions, account created date, activity logs, timestamps, device information, web activity, or IP address.
    • Finance and Accounting: Data required to perform our internal financing and accounting administration such as address, name, billing address, order details, recharge details, activity logs, timestamps, or IP address.
    • Social Features: Data required to enhance player communication and social experiences (e.g., player-to-player voice and text chat and leaderboards) such as player name, skill/reputation/rankings.
    • Communication with Players: Data to communicate with players about products, services, surveys, news, updates, and events such as email, name, or IP address.
    • Payouts for Creator Code Program: Data to initiate payouts to creators such as name, email, and bank details.
  2. To Debug Existing Services:
    • Troubleshooting/Diagnostics: Data needed to debug our products and services, reproduce player-reported bugs such as player name, chat records, device name, email address, name, internal IDs, activity logs, country, device information, language, region, or IP address.
  3. To Protect Players From Malicious, Illegal Activity:
    • Security, Malicious Activity/Toxicity: Data needed to analyze toxicity reports, detect cheating, malicious activity, or abuse of Terms and Conditions/EULA or abuse of other players such as account name, activity logs, timestamps, country, region, IP address, account restriction history, active penalties, case details, complaint history, customer service chat logs, in-game chat logs, in-game voice data.
    • When you use the voice chat feature in our game, your conversations may be monitored or recorded for the purposes of preventing cheating, fraud, detecting toxic behavior, or enforcing our Terms and Conditions or EULA (End User License Agreement). These recordings may also be transcribed into text for analysis.
    • The transcriptions of your voice conversations will be retained for a reasonable period of time to investigate any potential violations of our Terms and Conditions/EULA, prevent fraud or cheating, or address any other legitimate business purpose. After the retention period has ended, the transcriptions will be securely deleted unless there is a legal obligation to retain them.
    • Please be aware that when using the voice chat feature in our game, you should take care not to reveal any personal information that you do not want others to hear. While we make every effort to maintain the security and privacy of your conversations, we cannot guarantee that other users of the service will not be able to hear or access your conversations. You are solely responsible for any personal information that you choose to disclose when using our services.
  4. Legal Requirements/Audits:
    • Data required to handle legal disputes or investigate claims such as address, name, or case file.
  5. To Increase the Quality of Our Products and Services:
    • Business Optimizations: Data used to improve the game using alpha/beta tests, surveys, analytics of player activity such as player name, chat records, name, purchase and refund histories, activity logs, timestamps, cancellation surveys, country, device information, license details, IP address, support survey, case details, or gameplay logs.
  6. To Communicate Offers to Players That May Interest Them:
    • Marketing/Advertising: Data required to communicate products or services such as name, email, purchase history, IP address, activity logs, timestamps, country, email activity, language, region, or language.

Children's Policy

Our products and services are not intended for use by children and you may not use our products or services if you are a child. We define "children" as individuals under the age of 13 (or under the applicable age of consent to process personal data in your country).

If we learn that we have collected personal information from a child, we will take steps to promptly delete that information. If you believe that we may have collected personal information from your child, please contact us as a parent or legal guardian at teamvashbusiness@gmail.com and we will take appropriate measures to remove the child's information from our records.

International Transfer - European Union/United Kingdom

Your data will be stored and processed in our North American servers. TeamVASH uses EU (European Union) Standard Contractual Clauses and the UK (United Kingdom) International Data Transfer Agreement to protect your data.

How We Share Your Information

We work with some third parties to provide you with our services and some personal data may need to be shared with them.

Your information may be shared in these situations:

  • Service providers we use to run our business effectively, such as providers that support us with marketing/advertising campaigns, payment processing, and cloud storage.
  • So we can comply with any legal or government obligations such as fraud, threats to others’ physical safety, violations of our Terms and Conditions, or other legal requirements.
  • Your personal data may be shared with a business who may acquire our business (because of bankruptcy, acquisition, merger, dissolution, reorganization, or any other similar event).
  • A third-party business who can provide a specific service for our users in case we need to outsource support.
  • Publicly shared data such as your player name, content you share, game statistics for leaderboards, voice or text chat with other players.

How We Respond to Do Not Track Requests

CalOPPA (The California Online Privacy Protection Act) requires websites to disclose whether they respond to Do Not Track settings. TeamVASH does not currently respond to Do Not Track signals because no standard protocol has been created across all browsers.

Lawful Basis for Processing Your Information

  1. Contract: To allow you to play the game, use our website, or use our game launcher, personal data is required to create your account, authenticate you, process purchases, detect cheating, exploits, fraud, abuse, toxicity, or illegal activities, enable, process, and send text and voice chat functions, deliver account bans, troubleshoot or debug issues, provide alpha and beta tests, show leaderboards, general location data required for matchmaking, respond to customer support emails, email you about changes to our privacy policy or terms and conditions, notify you by email about password changes on your account or suspicious login activity, conduct research, and maintain the game and game launcher’s functionality.
  2. Consent: You can provide consent for the following, and you can withdraw your consent at any time. With your consent, you may:
    • Receive news and offers about our products and services by email by TeamVASH or parties in partnership with TeamVASH. You can withdraw consent by clicking the “unsubscribe” link in your emails.
    • Cookies: Cookies, log files, and web beacons may be used for analytics or advertising purposes. You can withdraw consent by clicking “update cookie preferences” at the bottom of any page and follow the prompts to “decline all” cookies or toggle off individual cookies. The cookies will then be deleted on your browser.
  3. Legitimate Interest: We may process your personal data in a way that has minimal privacy impact to you and is reasonable considering your relationship with TeamVASH. For example, we may process data:
    • To create paid targeted advertisements.
    • To contact you. For example, if there are privacy concerns with your account (e.g., suspicious login activity) or updates to our Privacy Policy or Terms and Conditions/EULA.
    • To respond to your requests.
    • To perform data, marketing, and media analytics to measure, segment, create statistics, reports, and insights on player or user activity and preferences to improve our products and services. This involves research and analysis.
    • To audit and create reports for internal improvements.
    • For internal training purposes.
    • To protect and keep TeamVASH secure by ensuring there is no misuse of our products and services and to enforce our Terms and Conditions/EULA.
    • To get feedback from players so we can improve our products and services.
    • To manage our social media content.
    • To detect and handle fraud, cheating, and abuse of our products and services and/or illegal activities conducted while using our products and services.
  4. Legal Obligation: Your personal data may be used if it is needed to comply with a common law or statutory obligation, finance, accounting, or security reasons.
  5. Vital Interests: We may use your personal data to protect someone’s life.

Your Rights and Choices

With the GDPR (General Data Protection Regulation), individuals in the EU have these rights:

  • Right to Access your Data: You may be able to receive a copy of your personal data.
  • Right to Restrict Processing: You can request the restriction of processing your personal data.
  • Right to Object: You can request your personal data to stop being processed if you believe TeamVASH does not have the right to process your data or if you want to stop your personal data being used for direct marketing.
  • Right to Portability of your Data: Moving your data around at TeamVASH isn’t related to current business practices; however, if you request your data in a portable format, you will receive an electronic copy of your data.
  • Right to Rectify Your Data: If your personal data is no longer accurate, you can update your information in your account settings on the website.
  • Right to Have your Data Deleted: You may be able to request to have your personal data deleted. However, some data may need to be kept for legal, accounting, or security purposes. You can disable your account by going to your account settings and clicking “Disable Account”.

How to Update or Delete Your Data

For Canadian residents, under PIPEDA (The Personal Information Protection and Electronic Documents Act), you also have these rights:

  • The right to access your personal information held by TeamVASH.
  • The right to challenge the accuracy of your personal information.
  • The right to challenge compliance. You can contact us by sending us a support ticket if you have a complaint you would like to file. You also may contact the Office of the OPC (Privacy Commissioner of Canada); however, it is recommended you contact us first to solve any issues efficiently.

To enact any of these rights, you can contact our selected data officer by sending us a support ticket.

For All Users:

  • If your personal data is no longer accurate, you can update your information in your account settings on the website.
  • You may be able to request to have your personal data deleted or withdraw consent. However, some data may need to be kept for legal or accounting purposes. By withdrawing consent or requesting to have your data deleted, we may no longer be able to provide you with our services. You can disable your account by going to your account settings and clicking “Disable Account”. See “How Long We Use Your Information” for more information.

    • ClientIDs, which is a unique random number assigned to you.
    • How many times you visit the website, how you found the website, etc.

Please note we are using Google Analytics 4 and it does not log or store individual IP addresses. The information it can collect is city, latitude (of city), longitude (of city), browser minor version, browser user-agent string, device brand, device model, device name, operating system minor version, platform minor version, and screen resolution.

Also keep in mind we are using Google Consent Mode which sends Google Analytics pings to Google Analytics even if you decline consent to the normal Google Analytics cookies. This is Google’s cookieless analytics feature which sends anonymous, non-identifying information. Some of the information is timestamps, user agent, referrer, current consent state choice, and a randomly generated number for a page. It will not read or write first-party Google Analytics cookies if you decline consent to analytics tracking.
